HAWARDEN INSTITUTE STANDARD CONDITIONS OF HIRE

1. THE HIRER will, during the period of the hiring, be responsible for supervision of the premises, the fabric and contents, their care, safety from damage however slight or change of any sort and the behaviour of all persons using the premises whatever their capacity, including proper supervision of car parking arrangements so as to avoid obstruction of the highway. Parking on the pavement at the front of the building is strictly prohibited and the disabled bays at the rear of the building are for Blue Badge holders only.

2 THE HIRER shall not sublet or use the premises for any unlawful purpose or in any way do anything or bring onto the premises anything which may endanger the same or any insurance policies in respect thereof, nor allow the consumption of alcoholic liquor thereon without written permission.

3 THE HIRER shall indemnify the Council for the cost of repair of any damage done to any part of the property including the curtilage thereof or the contents of the building, which may occur during the period of the hiring as a result of the hiring.

4 IF THE HIRER wishes to cancel the booking before the date of the event and the Council is unable to conclude a replacement booking, the question of the payment or repayment of the fee shall be at the discretion of the Council.

5 AT THE END of the hiring, the Hirer shall be responsible for leaving the premises and surrounds in a clean and tidy condition, and any contents temporarily removed from their usual positions properly replaced, otherwise the Council shall be at liberty to make an additional charge. Left over food and rubbish following a function must be removed by the hirer.

6 THE COUNCIL RESERVES the right to cancel this hiring in the event of the premises being required for use as Polling Station for a Parliamentary or local Government election or bye election, in which case the Hirer shall be entitled to a refund of any deposit already paid. This will also apply if the Gymnasium is taken over by the police or other authority in the event of an Emergency or Disaster.

7 IN THE EVENT of the premises or any part thereof being rendered unfit for the use for which it has been hired, the Council shall not be liable to the Hirer for any resulting loss or damage whatsoever.

8. CHILDREN / TEENAGE PARTIES must be supervised by adults. Access to the upper floor is not allowed and users occupying other rooms are to have their privacy respected. Any damage caused will be the responsibility of the person making the booking.

THE HAWARDEN INSTITUTE COUNCIL RESERVES THE RIGHT TO ADD, ALTER OR AMMEND THE STANDARD CONDITIONS OF HIRE AS AND WHEN THEY MAY DEEM NECESSARY.

HEALTH AND SAFETY AND GENERAL  REQUIREMENTS

FIRE PRECAUTIONS PARKING FIRE DOORS – These must be kept closed and unobstructed.

EXTINGUISHERS – These must not be moved or used for any other purpose than that which they are intended – i.e. door stops.

EXITS – must be kept closed and unobstructed. Please ensure all of your group are aware of the Fire Exit locations.

HAZARDS – Please ensure that no bags or parcels are left to obstruct doors or corridors.

PLEASE NOTE: BEACAUSE OF SMOKE ALARMS IN THE HALL CANDLES CANNOT BE USED.FOR TABLE DECORATION.

FIRE ASSEMBLY POINT The fire assembly point is the car park. It is important if you are with a group, that you are aware of how many persons are in attendance.

KEYS Some regular users may be issued with a main door key. Lost keys must be reported to the Manager and replaced at your own expense. Please ensure door is locked when you leave.

PERSONAL PROPERTY The Institute can not be held responsible for the loss of any personal property.

DAMAGE & FAULTS Accidents happen ! It would be appreciated if any damage or fault is immediately, or as soon as is practicable, reported to the Manager. Non accidental damage will be charged to the person who made the booking.

SUPERVISION Children must be supervised at all times. Stairway and upstairs is OUT OF BOUNDS. Food and drink must not be consumed other than in the kitchen or hall.

KITCHEN AREA The kitchen if used must be left clean & tidy Parking is only permitted in the disabled spaces at the rear of the building. (Disabled Badge Holders Only) or In the designated car park. You may park temporarily on the road near the door to allow for dropping off infirm or disabled passengers or heavy packages. Parking is not permitted in the courtyard near the door, except for loading and unloading, nor on the pavement in front of the building. Vehicles must then be removed to the car park.

PAYMENTS Payment for the hire of any room may be made: Directly to the Manager. By post (cheques payable to The Hawarden Institute.) Please do not leave money unattended in the office. SMOKING Smoking is not permitted anywhere in the building. Please dispose of cigarette ends carefully outside. FOOD Food uneaten after a function must be removed from the premises & disposed of by the Hirer. Food must not be left overnight without the permission of the Manager.

ALL RUBBISH especially leftover food, must be removed from the premises by the Hirer. If a function is late, arrangements can be made to do this on the following morning.

OTHER USERS There are a number of rooms in the building which may be in use simultaneously. Please respect other people and keep doors to the hall closed to limit the noise from Discos reaching other rooms.
